Privacy Policy

Our promise in plain words

Your health story belongs to you. We use it to care for you, and for nothing else. We never sell your information to anyone.

We do use limited marketing information, like your email address and the steps you take with us online, to understand which of our ads and webinars help people find us. That lets us spend less reaching people who are a poor fit and more reaching people we can genuinely help. This policy explains exactly what that means, where the lines are, and how to opt out.

Who we are

Functional Nutrition Resources (“FNR,” “we,” “us”) is a functional medicine and nutrition practice at 10318 N 138th E Ave, Suite 101, Owasso, Oklahoma 74055. This policy covers our websites, including functionalnutritionresources.com and rootcausetulsa.com, our webinars, our booking pages, our emails and texts, and the client care we provide.

Two kinds of information, two sets of rules

We treat information in two separate categories, and we keep them separate.

Client care information. This is everything connected to your care with us: your intake and evaluation forms, symptoms, health history, lab results, recommendations, session notes, recordings, and messages with our team. It lives in secure clinical and communication systems and is used only to provide and improve your care, run our practice, and meet legal obligations. We never share client care information with advertising platforms, and we never use it to target ads.

Marketing information. This is what you share or create when you interact with us as someone exploring whether FNR is right for you: your name, email address, and phone number when you register for a webinar or book a call, how you found us, the pages you visit, the ads you click, whether you watched a webinar, and the scheduling steps you take with us. The rest of this policy explains how we use it.

What we collect

What you give us. Your name, email, phone number, and the information you enter on our forms when you register for a webinar, book a discovery call, contact us, or become a client.

What we collect automatically. When you visit our websites or open our emails, we and our tools collect technical information such as your IP address, browser and device type, pages viewed, links clicked, the ad or campaign that brought you to us, and click identifiers that advertising platforms attach to ad links. We use Microsoft Clarity, which records how visitors move through our pages (clicks, scrolling, and page layout) so we can fix confusing parts of our site. Clarity is configured to mask what you type into form fields.

What we receive from others. If someone refers you, we may receive your name and contact details from them. Advertising platforms may tell us in aggregate how our ads performed.

How we use it

  • To provide care, run appointments, and communicate with you
  • To send the webinar, reminders, and follow-up content you asked for
  • To understand which ads, webinars, and pages bring people to us, and which ones bring people we can actually help
  • To improve our websites, our webinars, and our client experience
  • To protect our practice, prevent fraud, and meet legal requirements

Advertising and measurement

We advertise on platforms such as Meta (Facebook and Instagram) and Google. To learn which ads work, and to help those platforms show our ads to people more likely to benefit from working with us, we share limited marketing information with them, including through tools called the Meta Pixel and the Meta Conversions API.

What we may share with advertising platforms:

  • Your email address, in scrambled (hashed) form, so the platform can match it to an account it already has
  • Click identifiers, IP address, and browser information
  • That you took a step with us, such as registering for a webinar, watching a webinar, or scheduling a call or evaluation

What we never share with advertising platforms:

  • Anything from your client care information
  • Your symptoms, health concerns, health history, lab results, or answers to our intake or screening questions
  • Your mobile phone number
  • That you became a client, or what services you chose

Advertising platforms use this information under their own privacy policies. You can review and control how Meta and Google use your information in your account settings on those platforms.

Text messages

If you give us your mobile number, you agree to receive text messages from FNR about your appointments and our services. Message and data rates may apply, and message frequency varies. Reply STOP to opt out at any time. We do not share your mobile number or your text messaging consent with any third party for their own marketing, and we do not send your mobile number to advertising platforms.

Who else sees your information

We work with service providers who help us run the practice, and they may access your information only to do that work for us. They include providers of scheduling and client records, video sessions, email and text messaging, customer relationship management, call recording and transcription (including AI tools that help our team review and improve calls), payment processing and patient financing, and website hosting and analytics.

We may also disclose information when the law requires it, to protect someone’s safety, or as part of a sale or merger of our practice, in which case the new owner must honor this policy.

We do not sell your information

We do not sell, rent, or trade your personal information. Sharing limited marketing information with advertising platforms, as described above, is how we measure and run our own ads. We do not receive payment for it.

Your choices

  • Opt out of ad sharing. Email info@functionalnutritionresources.com and ask us to stop sharing your information with advertising platforms. We will honor it going forward.
  • Browser and device controls. You can block or delete cookies and use your browser’s tracking protection.
  • Platform settings. Meta and Google let you limit ad personalization in your account settings.
  • Emails. Use the unsubscribe link in any marketing email.
  • Texts. Reply STOP.
  • Access, correction, deletion. Email us to request a copy of your marketing information, correct it, or delete it. Some client care records must be kept for legal and professional reasons, and we will tell you if that applies.

Security and retention

We use reasonable administrative, technical, and physical safeguards, including access controls and encrypted connections, to protect your information. No system is perfectly secure, so we limit who can see what. We keep marketing information only as long as it serves the purposes above, and we keep client care records as long as professional and legal requirements call for.

Children and teens

We care for clients of all ages, including children and teens. For anyone under 18, a parent or legal guardian arranges care, provides the child’s information, and signs on the child’s behalf. A minor’s information is client care information and follows those rules: it is never shared with advertising platforms or used to target ads.

Our websites, webinars, and ads are meant for adults. We do not knowingly collect marketing information online from anyone under 18, and we never include a minor in information we share with advertising platforms. If you believe a minor has given us information through our websites or webinars, contact us and we will delete it. Parents and guardians can request access to, or correction of, their child’s information at any time.

.

Changes to this policy

We will post any update here with a new date. If we make a material change to how we share your information, we will notify you before the change applies to information we already have.
